Welcome to MosiShop — the offline-first point-of-sale app that runs your shop even when the internet doesn't. This guide walks you through every part of the app, step by step, with real examples.

Who sees what? MosiShop adapts to your role:

  • Owner — sees everything: sales, inventory, staff, accounting, reports, settings.
  • Shopkeeper/Cashier — sees selling, register, customers, basic reports, and printer setup.
  • Staff — sees only what the owner has given them permission to use (e.g. "Sales staff" can sell but not see accounting; "Inventory staff" can manage stock but not process sales).

If a screen or button mentioned here isn't visible to you, ask your shop owner to check your permissions in Staff Management.

01Getting Started

1.1 Installing and opening the app

Download and open MosiShop. The first screen you see is the Login screen.

1.2 Logging in for the first time (Owner)

  1. On the Login screen, enter your Email and Password.
  2. Tap Sign In.
  3. If this is a brand-new business, you'll be taken through the Business Onboarding wizard: enter your business details, pick a subscription Plan, and complete Payment before reaching your dashboard.
  4. Forgot your password? Tap Forgot password? and follow the reset instructions sent to your email.

1.3 Adding a shopkeeper or staff member to a device

Owners issue two kinds of codes so staff can start using MosiShop on a shop device without needing the owner's own login:

  • Shopkeeper: join with MSH code — on the Login screen, the shopkeeper taps this option and enters the join code the owner shared with them. This links the device to the business.
  • Replace terminal (MRP code) — if a device is lost, broken, or being swapped, use this option with a replacement code (generated by the owner in More → Team → Devices) to move that terminal's identity to a new device.

Example: You've just bought a second phone for your new cashier, Aline. In Staff Management, add Aline as staff and generate her activation. On her phone, open MosiShop, tap Shopkeeper: join with MSH code, and enter the code you were given. Aline can now set her own PIN and start selling.

1.4 Setting up your PIN

The first time you use MosiShop on a device, you'll be asked to Set a PIN — a short numeric code that unlocks the app quickly without retyping your email and password every time.

  1. On Set PIN, enter a PIN and confirm it.
  2. From now on, opening the app shows Unlock MosiShop with a number pad — enter your PIN to get in.

Forgot your PIN?

  • Tap Reset PIN (know password) and log in with your email/password to set a new PIN, or
  • Tap Set a new device PIN from the recovery screen if that option is available for your role.

1.5 Working without internet from the start

If you already set up this device before and have no connection right now, tap Continue offline on the Login screen — MosiShop will open using the data already saved on your device. See Section 14 for full details on offline mode.

1.6 Choosing your role and branch

After signing in, if your business has more than one branch, you'll be asked to pick which branch/location you're working from. Your role (Owner/Shopkeeper/Staff) determines your home dashboard automatically — see below.

1.7 How sign-in works, and why

MosiShop has two levels of sign-in. Knowing why helps you use them well.

Your PIN is kept safe. It is stored on the device only as a scrambled value (a hash) in the phone's secure storage, never as the digits you typed, and your password is never stored on staff phones.

Example: a normal day. Aline signed in with her email and password on the shop phone once, and chose a PIN. Every morning she opens MosiShop, types it, and is in. The network is down today? It still works, because the PIN is checked on the phone.

Why staff never use the owner's password. A cashier does not sign in with an account. The owner links the phone with an MSH code (see 1.3), the owner adds the cashier in Staff Management, and sets a 4-digit PIN. From then on the cashier signs in with the PIN only, and sees only what their role and permissions allow. The owner's password never leaves the owner.

Biometric login (fingerprint or face) is optional. You can turn it on when you set your PIN (Enable biometric login).

1.8 Automatic lock when idle, and why

If nobody touches the screen for a while, MosiShop locks itself and shows Unlock MosiShop with the PIN pad.

Why we lock:

  • A cashier steps away and a customer, or anyone else, could change prices, void a sale or open reports.
  • Every action is recorded under the person who signed in. If the phone stays open, the next person acts as them.
  • Cashiers have a shorter delay because they work at the counter, in front of customers. Managers and owners see more sensitive screens, so they are locked too, with a little more time.

What the lock does not do:

  • It does not sign you out and does not delete anything. Your data, your sales waiting to sync and your trusted device stay as they are.
  • It needs no internet. You unlock with your PIN.
  • It does not interrupt you while you work. Every tap, scan, navigation or sale starts the timer again, so a busy terminal never locks in the middle of a sale.

Example: lunch break. Eric is the cashier. At 12:30 he leaves the counter. At 12:33 the phone shows Unlock MosiShop. A customer who picks it up cannot do anything. Eric comes back, types his PIN and carries on.

1.9 Wrong PIN attempts

After 5 wrong PINs in a row, the PIN screen shows Account locked and a Time remaining counter. Login is disabled on that device for 3 hours.

Why: this stops someone guessing a short PIN by trying every number. A correct PIN resets the count.

Before the lock you see "Invalid PIN. {n} attempts remaining". If you are locked out, or you just forgot the PIN:

  • Tap Forgot PIN? and verify your account password. Your device stays registered. Only the PIN changes. Then choose a new PIN of 4 to 6 digits.
  • Or tap Sign in with password instead.
  • Cashiers and shopkeepers: ask the owner or a manager to reset your PIN in Staff Management.

Example: Marie mistypes her PIN three times. The screen says "Invalid PIN. 2 attempts remaining". She stops, taps Forgot PIN?, enters her account password, and chooses a new PIN. She is back in without waiting 3 hours.

1.10 Several people on one phone

Use Switch user (or Choose another team member) on the PIN screen. The next person picks their name and types their own PIN. Each person has their own PIN so every sale, discount and void is recorded under the right name, and each sees only their own permissions.

1.11 A lost or stolen phone

  1. The owner opens More → Team → Devices (needs internet).
  2. Removes the device. It can no longer connect to the shop.
  3. Link a new phone with a new MRP replacement code, and carry on. Your data that was already synced is on the server.

Reinitialize device on the PIN screen clears the trusted-device registration on that phone. You then sign in again. Use it only when a phone is given to someone else.

Why remote removal matters: a PIN protects an unlocked phone for hours, a removed device protects the business for good.

1.12 Resetting your account password

On the login screen tap Forgot Password?, enter your email, and follow the instructions we email you. After a reset, sign in again and keep using your PIN on the trusted device.

02Daily Selling Workflow

The everyday flow: open register → sell → checkout → receipt → close register.

2.1 Opening the register (start of the day)

Before your first sale MosiShop asks you to Open register: "Enter the cash in the drawer before you start selling."

  1. Type the Opening float amount, the cash you are starting with.
  2. Confirm. There is one shift per day on this device, and it stays open until the end of the day.

2.2 Making a sale

  1. Tap Sell in the bottom bar. It has two views: Sales (the till) and Orders (recent orders).
  2. Find a product:
    • Type in Search products…, or pick a category (All Categories) and tap the product, or
    • Tap the scanner icon and scan the barcode. If the code is not known you see "Product not found".
  3. Each tap adds the item to the cart. Change the quantity in the cart, or remove the item.
  4. Tap the checkout button.

Example: A customer buys 2 bars of soap and a bag of rice. Scan the soap barcode twice, tap rice once, then go to checkout. The total, including tax, is shown at the top.

2.3 Checkout and payment

On the Payment screen you see Total (incl. tax) and How to pay?:

  • Cash: type Amount received. MosiShop shows the Change. Tap Exact if the customer gives the exact amount.
  • Mobile Money: enter the Mobile money reference (the transaction ID or reference number from the payment message).
  • Other: another method your shop accepts.

Selling on credit or partial payment. Open Debt/Credit Sale ("Allow partial payment or record full debt"):

  1. Select or add a customer. This is required for credit sales.
  2. Enter Amount paid now, or use the shortcuts Pay later (nothing now), 50% or Full amount.
  3. Optionally tap to set the Debt due date.
  4. The Payment status shows the Remaining Debt.

Tap COMPLETE when the sale is paid in full, or RECORD SALE when part or all of it is debt.

Some actions need a manager. A dialog asks for a manager PIN and you tap Approve. A wrong PIN shows "Invalid manager PIN".

Example: Jean buys 100,000 of goods and pays 40,000 now. Choose Jean, enter 40,000 in Amount paid now, set the due date, and tap RECORD SALE. The screen shows Remaining Debt 60,000.

2.4 After the sale

The screen says SALE COMPLETE! (or DEBT RECORDED! for a credit sale) and "Stock updated automatically". You can:

  • Print receipt to your connected printer (see chapter 11),
  • Show QR for customer so they can scan their receipt,
  • View receipt on screen,
  • go to Orders, or tap NEW SALE for the next customer.

Every sale also shows whether it has reached the server (offline, pending or synced).

2.5 Closing the register (end of the day)

Open the shift report for your open register. It has two reports:

  • X report: a snapshot during the day. It closes nothing.
  • Z report: the end-of-day report.

To close: tap Close register, type the Counted cash in drawer, and MosiShop shows the Expected cash, your count and the Difference. Confirm with Close session. You can Print, Share or export the report as PDF or CSV.

The report has three tabs: Summary (net sales, average sale, payment methods Cash / Mobile money / Other, sales by hour, refunds, voids, tax breakdown), Transactions and Products (top selling).

Example, start to finish: Open the register with an Opening float amount of 20,000. Sell all day. In the evening choose Close register. The expected cash is 145,000. You count the drawer: 144,000. The Difference is -1,000. Confirm and the day is closed and logged.

03Products & Catalog

A product is anything you sell. Set it up once with a price and a cost, and every sale, stock count and report uses it from then on.

3.1 Adding a new product

  1. Go to Products and tap Add product.
  2. Fill in: Product name, Price, Cost price, Category (pick an existing one or create a new one), Unit of measure (e.g. piece, kg, box), Barcode, and optionally a photo.
  3. If you change the cost price on an existing product, MosiShop will warn you about the impact on your profit margin before saving.
  4. Tap Save.

Example: You start selling rice in 25 kg bags.

  • Product name: Rice 25 kg
  • Category: Food (create it the first time)
  • Unit of measure: bag
  • Cost price: 1,200 (what you pay your supplier)
  • Price: 1,500 (what the customer pays)
  • Barcode: scan the code printed on the bag

Tap Save. The product now shows in the sale screen and in Inventory with a quantity of 0. MosiShop shows your margin as 300 per bag, or 20% of the price.

Tip: You do not have to type the opening stock in the product form. Add it from Stock Adjustment (chapter 4) or by receiving a purchase order (chapter 6), so every quantity has a recorded reason.

3.2 Finding and browsing products

  • Use Product search to search by name or barcode.
  • Use the filter chips to narrow by category or stock level (e.g. show only low-stock items).
  • Tap any product to open its detail screen, including a Performance tab showing its recent sales history.

3.3 Units of measure

A unit of measure (UoM) says how you count a product: by piece, kg, litre, box. MosiShop stores stock in the smallest unit (the base unit) and converts bigger units for you.

  • Open More → Settings → Units of measure to see, add or edit units. Each unit belongs to a category (for example Unit, Weight, Volume) and has a conversion ratio to the base unit of that category.
  • The base unit has ratio 1. A unit larger than base says how many base units it holds. A unit smaller than base says how many of it fit in one base unit.
  • Stock converts automatically: quantity x ratio = base units.

Example: a drinks shop. The category is Unit, the base unit is Bottle.

Sell one bottle: stock goes down by 1. Receive 5 crates: stock goes up by 5 x 24 = 120 bottles.

Example: sugar by weight. The category is Weight, the base unit is Kilogram. Add Gram as a smaller unit with ratio 0.001. A customer buys 250 g: stock goes down by 0.25 kg.

On a product, the Units & supplier tab lets you choose its Sales UoM (how you sell it) and Purchase UoM (how you buy it). You can also allow extra units for that product and pick the default.

Different units per business. Each business has its own list of units, prepared for its trade when you create it. A pharmacy starts with tablets, strips, boxes and milligrams. A drinks shop starts with bottles, crates and kegs. A building-materials shop starts with bags of 50 kg, tons and pallets. You can add or change units at any time. See chapter 12 for the full list.

3.4 Packaging (cartons, crates, boxes)

Packaging is a bundle of the base unit that you buy or count in, such as a carton of 30. It does not change how you sell: it makes buying and counting faster.

  1. Open the product and go to Packaging.
  2. Check the Base unit (for example Bottle).
  3. Tap Add level. Enter the Unit name (e.g. Crate), the Qty in Bottle (e.g. 24) and, if you want, the Purchase price of one crate.
  4. MosiShop shows a preview such as 1 Crate = 24 Bottle, and works out the cost per bottle for you.
  5. Save.

Example: soft drinks. You buy a crate of 24 bottles for 15,000.

  • Level: Crate, Qty 24, Purchase price 15,000
  • MosiShop shows 625 per Bottle (15,000 / 24).

When you add the first stock, choose Enter stock in: Crate and type 5. MosiShop saves 120 bottles. When you sell a bottle for 1,000, your margin is 375.

Packaging or a unit of measure? Use packaging for a bundle of the same item (a crate of 24 bottles). Use a unit of measure when the same product is measured in a different way (kg and g, litre and mL). They are separate: a product can have both.

04Inventory & Stock

Tap Inventory in the bottom bar. The hub has these tiles:

4.1 Viewing stock levels

Open Stock. You see Stock Value and filters Low Stock and Out of Stock. Each product shows "On hand 18 bag, reorder at 10". Choose a location, or All locations. Tap a product for Total Stock, Reserved and Available.

Tap Movement History to see every stock movement, and New adjustment to start an adjustment.

4.2 Adding stock and counting

Open Inventory → Add / Adjust Stock ("Add stock you already have, or correct a count, no purchase needed").

  1. Search the product by name, SKU or barcode and tap it.
  2. Choose the mode: Add stock or Physical count.
  3. Pick the Storage location and, if the product has several units, the unit. You see the Current on hand.
  4. Type the Quantity to add, or the Counted quantity.
  5. Choose the Reason and, if you want, add Notes for the audit trail.
  6. Check Before, Change, After, then tap Apply adjustment.

If your count equals the stock, MosiShop says "Count matches stock, no adjustment needed". Offline, it saves on the phone and syncs later.

Example: You count 18 bags of sugar, the system shows 22. Choose Physical count, type 18, reason "physical count". The screen shows Before 22, Change -4, After 18. Tap Apply adjustment.

Example: opening stock. You just created Rice 25 kg. Choose Add stock, location Main shop, quantity 5 crates or 120 bottles, reason "opening stock". The quantity is now recorded with a reason.

4.3 Transferring stock to another branch

Open Inventory → Transfers → New transfer.

  1. Choose the product and type the Quantity.
  2. Choose the Destination branch.
  3. Tap Save. In the list, Confirm completes the transfer when the goods arrive.

4.4 Expiry and low stock

For businesses that track batches (for example a pharmacy), Expiring soon lists batches to sell first. Low-stock products show in the Stock tab and in the Stock report.

05Customers & Credit

A customer record lets you sell on credit, track what each person owes, and reward loyal buyers.

5.1 The default "Anonymous" customer

You do not need to create a customer for every sale. Every business has a customer made for you, called Anonymous (shown as Walk-in Customer or Anonymous Customer on screens and receipts). Cash sales with no named client go to it automatically.

Note: A sale on credit always needs a named customer, because MosiShop must know who owes the money.

5.2 Adding a customer

  1. During checkout, or from Customers, tap Add customer.
  2. Enter their name, phone number, and any other details.
  3. Save. The customer is now available in the customer selector during checkout.

5.3 Selling on credit ("pay later")

  1. During checkout, select a customer (required for credit sales).
  2. Choose the credit or partial-payment option and set a due date.
  3. Complete the sale. The balance is recorded against that customer.

The rule: a sale becomes a debt when the amount paid is less than the total. The remaining balance is recorded on the customer, and the sale is marked PARTIALLY PAID.

Example: Jean buys goods worth 100,000 and pays 40,000 today.

  1. At checkout choose Jean, then the credit option, and set the due date to Friday.
  2. Enter 40,000 as paid.
  3. The sale shows Remaining 60,000, PARTIALLY PAID, and Jean's debt is 60,000.

5.4 Debt management

Open Customers → Debt Management (the hub also shows Credit Sales, Credit Risk and Credit Policy). You see how many people owe you and the total outstanding.

  • Debt dashboard: each customer with their current debt, overdue debt, last payment and next due date.
  • Aging: how late balances are, in groups: Current, 1-30 days, 31-60 days, 61-90 days and 90+ days.
  • Statement: open a customer to see their invoices / receipts and payments in one list.
  • Top debtors: the customers who owe you the most.

Recording a payment: open the customer, tap Record Payment, enter the amount and confirm. MosiShop stops you if the amount is more than the balance.

Example: Jean comes back on Friday and pays 25,000. Open Jean, tap Record Payment, type 25,000. His balance goes from 60,000 to 35,000 and the payment appears in his statement. The next payment of 35,000 clears the debt, and he leaves the list of debtors.

5.5 Credit policy (Owner)

Open Customers → Credit Policy to protect your cash. Set a credit limit per customer and choose how the till reacts when a sale would go over it:

You can also set a maximum exposure as a percentage of your working capital, a maximum total overdue amount, and Block credit when customer is overdue.

Example: Your working capital is 1,000,000 and you set the maximum exposure to 20%. Your customers may owe you at most 200,000 in total. With Hard block on, the next credit sale that would pass 200,000 is refused until debts are collected.

06Suppliers & Purchasing

A purchase order (PO) is your written order to a supplier. It tells you what is still to come, lets you check what arrived, and keeps what you owe the supplier correct.

6.1 Managing suppliers

Go to Suppliers to view, add, or edit your supplier list (name, phone, email, address). Tap Add supplier, fill in the details and save. You can also Archive a supplier you no longer use: they leave the list.

The default "Anonymous" supplier. Every business has a supplier made for you, called Anonymous. Use it when you buy from a market trader or someone informal and you do not want to create a record. You can raise and receive a purchase order with it like any other supplier.

Example: On the way to the shop you buy 20 kg of tomatoes from a seller at the roadside. Create a purchase order, choose Anonymous as the supplier, add the product and quantity, and receive it. Your stock goes up and the purchase is recorded. If the same person becomes a regular, create a real supplier for them and use it from then on.

Each supplier can have a purchase tax setting: use the shop's purchase taxes, or mark the supplier No tax (exempt supplier).

6.2 Creating a purchase order

  1. Go to Purchase Orders → New purchase order.
  2. Select a supplier.
  3. Add the products and quantities you are ordering.
  4. Save. The order starts as Draft, and you can still edit or delete it.

6.3 The life of a purchase order

6.4 Receiving stock and backorders

When the goods arrive, open the order and tap Receive stock. For each line you see Receive now, the quantity that arrived today.

  • Enter the full quantity and the line is complete.
  • Enter less than ordered and MosiShop keeps the rest on the order as a backorder. Nothing is lost and you do not create a new order.

Each receipt adds the quantity to your stock at once and is listed under Receipts on the order. A backorder carries the order number plus B01, B02 and so on, for example PO/2026/00089/B01.

Example: a delivery in two parts. You order 100 bags of rice at 1,200 each from your supplier. The order is PO/2026/00089, total 120,000.

Monday, the truck brings 60 bags.

  1. Open the order and tap Receive stock.
  2. In Receive now type 60, then confirm.
  3. Stock of Rice 25 kg goes up by 60. The order becomes Partially received and shows Backorder PO/2026/00089/B01: 40 remaining.

Pay only for what arrived. Tap Pay received, choose the payment method, and enter 72,000 (60 x 1,200). If you type more than 72,000, MosiShop says "More than what has been received". For mobile money, enter the transaction number.

Friday, the other 40 bags arrive.

  1. Open the same order and tap Receive stock again, Receive now shows 40.
  2. Confirm. The order becomes Received and the backorder is closed.
  3. Tap Pay received for the last 48,000, then Complete.

Note: If the supplier charges a different price than the order, the receive screen shows Received cost (per unit) with the note "Different from the order's price". Correct it there so your stock value and profit stay true. You can also update the Sale price after receive at the same time.

Working offline? Receipts are saved on the phone and sync when the connection returns. A receipt that has not synced yet is marked pending sync.

07Staff & Permissions (Owner)

7.1 Adding staff

  1. Go to Staff and tap Add staff.
  2. Enter their details and set their initial PIN.
  3. Set their permissions using the checkboxes (e.g. inventory access, receive stock, create purchases, process sales).
  4. Save. Give them the join code so they can activate their own device (see Section 1.3).

7.2 Editing or removing staff

From the staff list, use the row menu to:

  • Edit PIN — reset a staff member's PIN.
  • Edit permissions — change what they can see/do.
  • Deactivate — disable their access (with a confirmation prompt) without deleting their sales history.

Example: You hire Marc to manage stock only, not sell. Add him as staff, and in Edit permissions, enable only inventory-related permissions (view stock, adjust stock, receive purchases) and leave sales permissions off. His dashboard will show inventory tools but no "New Sale" button.

08Reports

Open Reports from the Home screen or More → Business → Reports. It is not a bottom tab.

8.1 Tabs, period and export

The screen has a row of tabs, and the tabs you see depend on your business type and role. The usual ones are Sales, Stock, Products, Customers, Financial and Expenses. Some business types also get Services, Parking, Bookings, Team and Branches.

  • Period: Today, Yesterday, Week, Month or Custom. The numbers compare with the previous period.
  • Export: next to the period, choose Excel (.xlsx), CSV or PDF. Some reports are for the owner only ("Owner access required").
  • Tap a card to open the detailed report behind it.

8.2 What each tab shows

  • Sales: Net sales, Transactions, Average Sale, Gross margin, a Sales Trend chart against the previous period, Payment distribution (Cash, Mobile, Debt, Other), Refunds, Voids, and Recent transactions. Tap a card for Top Selling Products and each sale.
  • Stock: Inventory health: Stock Value, Total Products, Low Stock Items, Out of Stock, Overstock, Fast movers, Dead stock, and Top Products by Stock Value. Tap a card for the detailed reports: stock overview, dead stock, slow movers, fast movers, stock aging, inventory valuation, stock turnover and stock profitability. Batches expiring within 30 days are listed as Expiring Soon.
  • Financial: Net Profit (or Net Loss), Profit Margin, Revenue and Expenses. Tap a card for the Income statement or the cash flow (treasury) report, described below.
  • Expenses: where your money went. Tap to open the Expenses hub (chapter 10).
  • Products, Customers: best and slowest products, and your customers with their purchases.

8.3 The income statement

Revenue → COGS (cost of goods sold) → Gross Profit → Operating expenses → Operating profit → Other income and expenses → Net Profit, with the Net margin. The Revenue bridge explains how Gross revenue becomes Net revenue: minus Discounts, minus Returns, and the VAT collected shown separately.

Example: a week in Aline's shop.

  • Revenue: 1,000,000
  • COGS: 600,000, so Gross Profit 400,000
  • Operating expenses: 150,000 (rent, transport)
  • Net Profit: 250,000, a Net margin of 25%

8.4 Cash flow report (daily treasury)

Open Reports → Financial, choose the period and tap the cash card. It shows the Opening balance, the Closing balance and the Net cash flow, then:

  • Cash inflows: Sales revenue, Debt collections (customers paying their debts) and Capital contributions.
  • Cash outflows: Expenses, Supplier payments, Inventory purchases and Salaries. Some lines say "Sync purchases to enable" or "Sync HRM to enable" until that data is on the server.
  • Daily treasury: a day-by-day view. Tap Transactions for the list behind it.

Example: a month of cash. Opening balance 50,000. Inflows: sales 400,000 and debt collections 60,000. Outflows: expenses 150,000 and supplier payments 120,000. Net cash flow is 460,000 - 270,000 = 190,000, so the Closing balance is 240,000.

8.5 Examples

Which products are not selling? Reports → Stock, period Month, tap the Dead stock or Slow movers card. These are candidates for a promotion.

A report for your accountant. Reports → Sales, period Month, then Export → Excel (.xlsx). Send the file by email or WhatsApp.

What came in and out this week? Reports → Financial, period Week, tap the cash card.

09Accounting (Owner)

Open More → Accounting. MosiShop keeps simple books for you: every sale, purchase, payment and expense posts to your accounts automatically. The Accounting hub shows the number of accounts and whether your books are Balanced or Out of balance, with links to:

  • Chart of Accounts: every account, with a search box. Tap an account for its balance, total debits, total credits and recent transactions.
  • Trial Balance: each account's Debit and Credit, and a total. It says Balanced when they match, or "Debits and credits do not match".
  • Balance Sheet: what you own, what you owe and the owner's share as of a date, plus the current period result.
  • Cash Flow Statement: choose From and To dates. You see Net income, then Operating activities (Cash in (sales), Cash out (expenses)), Investing activities and Financing activities, ending with Opening cash, Net cash flow and Closing cash.
  • Capital & equity: your starting point and how the owner's money changes.
  • Receivables and Payables: what customers owe you, and what you owe suppliers.

9.1 Capital & equity

Capital = what you own minus what you owe. Open Capital & equity:

  1. Tap Set starting point, enter what the business owns and owes on a start date, and save.
  2. Use Add capital when you put your own money in, and Withdraw when you take money out. Say whether it is Cash, Bank or Mobile money.
  3. History lists every entry, and a curve shows how your equity evolves. You need an internet connection to record capital.

Example: putting money into the business. On 1 March you add 200,000 of your own cash. Open Capital & equity → Add capital, amount 200,000, Cash, save. Your Net worth of the business rises by 200,000, and the cash inflow appears in the cash flow report as Capital contributions.

Example: a month in the Cash Flow Statement. Opening cash 50,000. Cash in (sales) 400,000. Cash out (expenses) 150,000. Net cash flow 250,000. Closing cash 300,000. It should match the money in your till and accounts.

Tip: If a statement says No accounting data yet, it fills in as soon as your sales and expenses are recorded. If the Trial Balance says out of balance, contact support.

10Expenses

Open Expenses from More → Business → Expenses. The hub shows Today's Expenses, This Month, Unpaid Bills, an Expense Trend chart and your Recent Expenses (View all). Offline, changes save on the phone and sync later.

10.1 Recording an expense

  1. Tap Add Expense.
  2. Enter the Amount, choose the Category (or Add category), the Date and the Payment method.
  3. Add Notes if you want.
  4. For a bill you pay on a schedule, turn on Mark as recurring and set the Billing frequency and Days between payments. Turn on Mark as paid if you have already paid.
  5. Save.

Example: monthly rent. Amount 80,000, category Rent, Mark as recurring, every 30 days, Mark as paid off. It shows under Unpaid Bills until you pay it. Next month the app remembers the last payment.

10.2 Categories

Tap Manage categories to edit a category, Disable or Enable it, Archive it or Restore it.

10.3 Looking at your spending

The Insights section of the hub opens:

  • Expense Summary: Total Expenses, a split By category, the number of recurring and outstanding bills, and a monthly trend.
  • Expense Trend: the monthly trend and the category change versus last month.
  • Cash Flow: your money in and out (see 8.4).

Tap an expense to see its details. You can delete it (it is removed from your records), and you see its Sync status (Pending sync or Synced).

11Printing & Receipts

11.1 Connecting a printer

  1. Go to More → Settings → Printers (or the Printers quick action).
  2. MosiShop lists discoverable Bluetooth thermal printers nearby.
  3. Tap a printer to Connect. Once paired, it shows as Connected.
  4. Choose your paper width (32 or 48 characters per line) to match your printer/paper roll.

If you're using an Android POS device with a Sunmi built-in printer, MosiShop detects and uses it automatically — no Bluetooth pairing needed.

11.2 Printing a receipt

From the sale success dialog, or from any past order in Recent Orders, tap Print receipt. You can also show the QR receipt for a customer to scan instead of printing, saving paper.

11.3 What is on the receipt

The receipt shows your shop name, address, phone and email from More → Settings → Shop Information, then the items, tax and total of the sale.

12Businesses & Branches

MosiShop supports more than one business (for example a shop and a pharmacy) and more than one branch (location) inside each business, all under one owner account.

  • Each business keeps its own data. Products, stock, units, sales, customers, suppliers and staff are never mixed between businesses.
  • Each branch has its own stock. A sale takes stock from the branch you are working in.
  • Every business comes with one branch included. Extra branches and extra businesses come from your plan or from paid add-ons (see chapter 15).
  • A free trial covers one business with one branch.

12.1 Business types and how each is managed

When you create a business you choose its type. The type decides which screens you get, so each trade is managed in its own way. Change the type later and the screens change with it.

Your plan decides which features are available. If a type needs something your plan does not include, MosiShop tells you.

Example: a bar and a shop. Aline runs a bar and, next door, a small shop. The bar business gets a Menu and open tickets: she opens a tab for table 3, adds drinks, and closes it when the customers pay. The shop business gets Inventory and purchase orders. She switches between them with the business switcher, and each has its own sales and stock.

Changing the type of a business. Open the business settings and choose Business type. MosiShop asks "Switch to ...?". Items that do not fit the new type are hidden, not deleted, and come back if you switch back. To keep both, choose Create a new business instead.

12.2 Units for each type of business

Each new business gets units that fit its trade. You can change them in More → Settings → Units of measure.

Example: a pharmacy. The base unit of medicines is the Tablet. You can define a Strip as 10 tablets and a Box as 10 strips. Receive 3 boxes and stock goes up by 3 x 10 x 10 = 300 tablets. Sell 2 strips and stock goes down by 20 tablets.

12.3 Adding a new business

You need an internet connection to add a business.

  1. Open More → Business → Businesses and tap Add business.
  2. Enter the business name and choose its business type.
  3. Tap Create. MosiShop prepares the business: its first branch, units, categories, payment methods and its own Anonymous customer and supplier. You see "{name} is ready".
  4. Switch to it with the business switcher and start adding products.

Example: a shop owner opens a pharmacy. Marie already runs the business Marie Shop. She wants a second business, Marie Pharmacy.

  1. Open More → Business → Businesses, tap Add business.
  2. Name: Marie Pharmacy. Type: Pharmacy. Tap Create.
  3. She switches to Marie Pharmacy. Her units now start with tablets, strips and boxes, and she gets batch and expiry screens.
  4. Marie Shop is untouched: its products, stock and customers stay in it.

If your plan has no room for another business you see Business limit reached. You can Buy add-on (see chapter 15) or upgrade. A business that is not covered by your plan or add-ons is locked until it is paid for, and your data is kept safe.

12.4 Branches

A branch is a location of a business: a second shop, a stall, a warehouse.

  • Branches shows your locations and a counter such as "3 of 4 branches across all your businesses".
  • The location switcher changes the branch you work in. This changes the stock, sales and reports you see.
  • All branches is a view for the owner (reports and stock). To sell, work in one branch.

12.5 Adding a branch

  1. Go to Branches and tap Add location.
  2. Enter the name and address. The screen shows which business the branch will belong to, and you can pick another business before saving.
  3. Save, then switch to the new branch.

Example: a second shop and a warehouse. Jean has the business Jean Store with one branch (the shop). He adds a second shop in another town and a warehouse.

  1. Branches → Add location, name Jean Store Gitega, business Jean Store. Save. The counter goes from "1 of 3" to "2 of 3".
  2. Add location again, name Warehouse, business Jean Store. The counter shows "3 of 3".
  3. He moves goods to the warehouse with Stock Transfer, and each branch keeps its own stock.
  4. For a fourth branch MosiShop shows Branch limit reached and offers "Add one more branch" as an add-on.

How the branch count works. The first branch of every business is included. The branches your plan allows and the extra branches you buy are one pool for the whole account. You spend them on any business, so a pharmacy with 3 branches and a shop with 1 is fine if the pool covers it.

Good to know: If a business is not covered by your plan or add-ons, it is locked until it is paid for. Your data is safe. The other businesses keep working, and you can pay from Subscription status.

13The More menu and your Profile

MosiShop has no separate "Settings" screen. Everything beyond selling lives in two places: the More tab (bottom bar, right) and Profile (inside More). What you see depends on your role and your business type: for example Accounting is for the owner, and Taxes only shows when your business uses taxes.

13.2 What each entry does

  • Business: change the Business type and turn Features on or off (see chapter 12).
  • Shop Information: shop name, address, phone, email and currency. The currency is locked after the first sale or purchase, so choose it carefully.
  • Printers: pair a Bluetooth thermal printer and choose the paper width (see chapter 11).
  • Taxes: create and edit the tax rates used at checkout.
  • Units of measure: your units and conversion ratios (see chapter 3).
  • Sync status: the Last Sync time, a Sync Now button, failed operations you can retry or clear, and data usage with a Data Saver Mode.
  • AI Assistant: ask questions about your business. It is also available from the icon at the top of most screens.
  • Plan & usage: what your plan includes, your limits and your use of them, and Change plan.
  • Subscription: pay, renew or change your plan (see chapter 15).
  • Devices: the phones and terminals linked to your business (see chapter 1).
  • Users and Roles: add staff, set PINs and permissions (see chapter 7).

13.3 Profile

Open More → Account → Profile.

  • Preferences: Language (English, French, Kirundi, Kinyarwanda or Swahili), Theme (Light, Dark or System) and Notifications (coming soon).
  • Account: Switch user, Biometric login (fingerprint or face), and Change password (owner).
  • About: app version, Privacy Policy and Terms of Service.
  • Logout.

Example: switching the app to French. Tap More → Profile → Language, choose Français. The whole app changes language at once.

13.4 Help & Support

Open More → Account → Help & Support. You can Chat with us (the fastest way), message us on WhatsApp, or email support. FAQ and video tutorials are coming soon.

14Working Offline & Syncing

MosiShop is offline-first: you can sell, adjust stock, and manage customers even with no internet connection — everything is saved on your device first.

  • An offline banner appears when you have no connection; you can keep working normally.
  • Every sale shows a sync status chip: offline (not yet sent), pending (sending), or synced (confirmed on the server).
  • When your connection returns, MosiShop automatically syncs pending changes in the background. You can also force a sync from More → Settings → Sync status → Sync Now.
  • If two devices sold the last unit of the same item while both were offline, MosiShop will flag the conflict once both come back online so an owner can review and resolve it — this protects you from accidentally overselling stock you don't have.

Tip: It's safe to keep selling while offline. Don't worry about "losing" a sale — it's stored locally and will sync automatically once you're back online.

15Subscription, Payments & Billing

15.1 Your plan

  • Check your plan and its status from Subscription status.
  • MosiShop warns you before your plan expires so you can renew without interruption.
  • If it lapses, a grace period lets you keep working offline for a limited time before some features are restricted.
  • If you go over a plan limit (products, staff, branches, businesses), you see a prompt that explains the limit and how to upgrade.
  • A free trial covers one business with one branch and needs no card.
  • One subscription covers your whole company. Branches and extra businesses are added to it.

15.2 How you pay

  1. Choose a plan (Monthly or Yearly) or an add-on. The screen shows what you pay and, for yearly, what you save.
  2. Under Pay with, pick a method. Only the methods available in your country are shown.
  3. Tap Pay. What happens next depends on the method:

Card (processed by Paddle, our Merchant of Record)

  1. Tap Open payment page. The secure Paddle checkout opens in your browser.
  2. Pay with your card. Card payments are charged in US dollars at the global price. Paddle collects any tax and emails your receipt.
  3. Return to the app. The screen updates by itself and shows Payment received: "Your plan is active."

Mobile money (for example Lumicash, EcoCash, M-Pesa), where available

  1. Enter your phone number with the country code, for example +25769123456.
  2. The app shows the amount, a code to Dial, the Merchant code and a Reference. The reference is valid for a limited time.
  3. Dial the code on your phone, and when asked enter the reference and pay the amount.
  4. We confirm it automatically. The app then shows Payment received.
  5. Paid but not confirmed yet? Under Paid but not confirmed yet?, type the Transaction ID from the SMS and tap Send for approval. We confirm your payment shortly.

Example: paying for a plan by mobile money. Aline chooses the Monthly plan and Mobile money. She enters +25769123456 and taps Pay. The app shows: Amount 60,000, Dial 163#, Merchant code 123456, Reference MSH-4821. She dials, pays, and enters the reference when asked. When the payment is confirmed the app says Payment received. Your plan is active.* (The numbers here are only an example.)

Note: Prices on the website and in the app come from the same plan list, so they always match. We never see or store your card number. Mobile money is paid in local currency, card in US dollars.

15.3 Add-ons: extra businesses and branches

Add-ons let you grow without changing plan. They are bought on a paid plan (not during a trial), they belong to your company, and they work as soon as the payment is confirmed. You choose which business uses them.

  1. Try to add a business or branch beyond your limit. MosiShop shows Business limit reached or Branch limit reached, with the offer "Add one more branch for [price] per month".
  2. Tap Buy add-on, or open See plans & add-ons.
  3. Choose the add-on, then pay by card or mobile money, exactly as in 15.2.
  4. When the payment is confirmed you see "Added to your account". Go back and add the branch or business.

Example: adding a fourth branch. Jean has used all 3 branches his plan allows. He taps Add location and sees Branch limit reached.

  1. He taps Buy add-on and chooses 1 extra branch.
  2. He pays by card. Paddle opens in the browser and he pays in US dollars.
  3. Back in the app: "Added to your account". The counter now reads "3 of 4 branches".
  4. He taps Add location again and creates the fourth branch.

15.4 Upgrade, downgrade and cancel

  • Upgrade: starts immediately. MosiShop shows a quote: the credit for unused time (for example 13 of 30 days used) and the amount due now.
  • Downgrade: takes effect at the end of your current period. The app says "This plan starts on [date]" and you pay nothing now. Tap Schedule change.
  • Cancel: your plan keeps working until the end of the period you paid for, and is not renewed. Your data is kept so you can come back.
  • Refunds: ask within 14 days of your first payment for a full refund. See the Payments & Refund Policy.
